Hi Xfive,
We are an early stage startup building a platform to connect family caregivers of individuals suffering from Alzheimer’s and dementia to personalized resources to reduce the burden of caregiving.
Hi TJ,
Thanks for reaching out to us! We are pleased to be considered as a dev partner to help you with your platform. We think it’s a very noble initiative!
I would love to schedule an introduction meeting to learn more about your business and the context of the project. Happy to tell you more about Xfive too, so we can all be confident it’s a good fit.
Hi Bartek 👋
Let’s talk next week.

Kick-off
This is when Agnes (Project Manager) and Mikolaj (Head of Product Design) step in.
It’s so nice to meet you, TJ. 👋
Before we properly kick-off this project we want to spend some time defining what “success” means for this project.
Hi TJ. I’m Agnes and I’ll be managing our project.
Here’s the plan for the first week.
Hello Agnes 👋
Makes sense. Let’s start asap. 👍
In-depth interviews
We have found out that part of the grant was dedicated to conducting some IDI’s (in-depth interviews) with their target audience.
We have helped Olera to find most important quotes from their end users and plan the future design to address some of their biggest fears and problems.
Equipped with new insights from the interviews we were confident to create personas for the two types of users — caregivers and service providers.
TJ, Mikolaj and I spent some time analyzing the interviews you’ve given us access to and here are the most important quotes and insights. Lmk, when can we discuss?
Thanks Agnieszka. Meet tomorrow?
👍
Having some plan or some education (for the finances) would be extremely helpful.
I would have liked somebody to guide me trough the process of what do I do.
I struggled with having somebody come in that I didn’t know that I couldn’t do a background check on.
It’s extremly difficult as a single child choosing a nursing home for a parent.

User flows and wireframes
The next logical step in our design process is to create user flows and wireframes.
TJ,
On our last meeting, you and I talked about how other platforms get users to sign up and create accounts. We want to give them a little push so they can see the benefits of having a care plan.
Take a look at this flow and lmk what’s your take on that?
👀
Not sure about FB authentication.
We’ll sort it out later.
I’ve made some basic wireframes for the homepage and service provider pages. Since we agreed that our audience is evenly split between desktop and mobile users, these wireframes are designed to work on both platforms.
I’ll review them with Logan this afternoon.
🔥🔥🔥 They’re awesome. I have some comments but it’s a really great start. Let’s talk soon.
Great! Once we’re on the same page about the content, I’ll start working on a design style tile. After that, I’ll move on to creating different layouts. I’ll make sure to include all the colors from your brand book in the design.
This is a provider view.
How about this for a map view?

Developers brainstorming session
Our developers conduct a series of brainstorming sessions each time, where they consider not only the choice of technologies but also recommend the best solutions from the perspective of interaction and the expectations of the client and their users.
Before we begin the development phase we have to choose the best technology.
Please send us any files that could be helpful. We will get back to you with more questions very soon 😉
This is a first version of questionnaire. We would like to give the user a customized results calculated from their answers.
Do you plan to update the questions often?
Yes, especially at the beginning.
What do you think? Can we build this project in WordPress, or do we need a custom solution?
WordPress is great for building business marketing pages or online stores. However, the idea behind Olera is unique. Take a look at the requirements; they are already quite complex. There are many paths the project may take in the future.
So what’s the team proposition for the backend technology?
We were thinking about Ruby on Rails. A custom solution does not mean we build everything on our own. Ruby on Rails gives us plenty of open‑source libraries that solve the most common problems. So we can focus on the custom parts, like the recommendations algorithm. Rails apps are easy to change, easy to scale, and stable.
Sounds reasonable to me. Let’s start asap!
Plan the development
Once we have an understanding of what needs to be done, we then divide the whole project into epics, tasks, and features, and estimate everything. This is a very important step as our clients expect us to provide them with a time estimation.
